PowerPoint Online

The PowerPoint Online is the online version of Microsoft PowerPoint. You can use the PowerPoint Online to create slideshow presentations that include text, images, and SmartArt graphics.

Tool Limitations

While it still lacks many of tools found in the desktop version, the PowerPoint Online has fewer limitations than the Excel and Word Office Online. You can easily insert pictures, SmartArt, animations, and transitions.

The PowerPoint Online does not include many tools for customizing the appearance of presentation slides. While it is possible to create professional presentations with the PowerPoint Online, you won’t have as much control over the way those presentations look as you would in the desktop version.

Basic tasks in PowerPoint Online

With PowerPoint Online you create presentations right in your internet browser. They live in your OneDrive space, and you can edit and share them online without any other software or installations. Let’s walk through the steps for creating a basic presentation:

Pick a theme

PowerPoint comes with “themes,” sets of professionally designed colors and layouts. Just pick a theme, and all your slides will follow that look.

  1. On the Design tab, pick a theme.
  2. Every theme has variations, so you can pick a different color scheme.

Pick a layout for your slides

Each slide layout has placeholders for text, pictures, charts, shapes, and more. Pick the layout that works best with the content you plan to present.

  1. On the Home tab, click Layout.
  2. Pick a layout, and click Change layout.

Add text

To add text to your slide, click inside a text placeholder and start typing.

For text bullets, place your cursor in the line of text, and on the Home tab, pick a bullet style.

Add a picture

  1. On the Insert tab, click Picture.
  2. In the Choose File to Upload box, find a picture, and click Open.

Add transitions between slides

For smooth, animated shifts between slides, add transitions.

  1. On the Transitions tab, pick a transition.Enter Fictitious URL here.
  2. To apply the transition to all the slides in your presentation, click Apply To All.

Animations

There aren’t as many animation effects available in PowerPoint Online as there are in the PowerPoint desktop application. However, the Online does play animation effects that were applied in the desktop application.

The following animation effects are currently available in PowerPoint Online and can be applied to pictures, shapes, and text:

Animate a picture on your slide

To add some spirit to your presentation, you can add an animation effect to a picture or to shapes on your slides.

  1. Select the picture.
  2. On the Animations tab, pick an animation effect. For example, pick Fly In.
  3. Click Effect Options, and then pick a direction for the animation. For example, From Left.

Tip: To remove an animation effect, in Normal view, select the picture, and on the Animations tab, click None.

Animate text bullets

To unveil information in stages while delivering your presentation, show text bullets one at a time.

  1. Select the text bullets.
  2. On the Animations tab, pick an animation, such as Appear, Fade In, or Fly In.
  3. With the text bullets still selected, click Effect Options, and then click By Paragraph so the bullets will appear one at a time.
  4. To preview the animated text, in the lower right corner of the orange task bar, click Slide Show View, and then click to show each bullet of text, one at a time.

Present your slide show

You can run your PowerPoint Online presentation with an Internet connection and a web browser.

To start your slide show, on the View tab, click Slide Show.

Share your presentation online

As you work on your presentation in OneDrive, you might want to share it so other people can see it or work on it with you.

  1. Click the Share tab.
  2. Under Share, click Get a link.

##To share a view-only copy of your presentation, under View only, click Create.

##To let others view and edit a copy of your presentation, under View and Edit, click Create.

Work with other people on a presentation

To work together in PowerPoint Online, just save your presentation to an online service such as OneDrive, and you can edit the presentation at the same time as other people. Edit a presentation as you normally would, and if others are also editing it, PowerPoint Online alerts you to their presence.

  1. In OneDrive, click to open the file that you want to work on with others.
  2. Under Edit Presentation, click Edit in PowerPoint Online.
  3. Begin working on your presentation.

Print your slides

You can print your slides and use them as handouts, or you can add your speaker notes to them and use them as a visual aid when you present.

 Important: A PDF viewer is required for printing in PowerPoint Online. If you don’t already have one, you can download one from the Web.

  1. On the File tab, > Print, > Print to PDF.
  2. To see the presentation when it’s been converted to PDF, click Click here to view the PDF of your document.
  3. In the Print box that appears, under Page Sizing & Handling, click Fit, and under Orientation, click Landscape. Set any other print layout options you want.
  4. Click Print.

 Tip  The PDF file opens in a new browser window. You can close it when you are finished printing.
